Preferred First Name Options for University of Iowa Faculty and Staff

Until today, UI systems have used just your Standard Name. You can now also enter an optional Preferred First Name in Employee Self Service, in addition to your Standard Name. If you enter a Preferred First Name, you can select between two usage options: limited and broad use. (Full Preferred Name is your Preferred First Name plus your Standard Last Name.)

As described in the Preferred First Name Policy, your Preferred First Name must be a name you truly use to identify yourself and must conform to policy guidelines; it cannot be vulgar or offensive, obscene, fanciful, or create confusion with another individual.

Your Standard Name Should Be Your Legal Name

  • Your Standard Name should be your legal (first and last) name as it appears on your social security card; otherwise, you may encounter difficulties with the IRS or state revenue and tax agencies
  • If you previously changed your Standard Name in university systems so that it is not your legal name, you should correct it by November 17 here
  • Starting November 18, you will need to change your Standard Name using this form and attaching documentation (such as a court order) for the name change

Important Details - Online Directory, Email, and Human Resources Systems

  1. Only one name type is searchable and appears in the publicly-visible online UI directory (your Preferred Name if you select “Broad Use”, your Standard Name if you select “Limited Use”)
  2. Selecting “Broad Use” means that your Preferred Name will accompany your UI email address (in the address book and in to/from/cc lines), but your email address itself will not change; use this page for instructions for changing your email address
