This page provides direction on determining whether a new student job classification is warranted or revising an existing classification.

The following scenarios are addressed below:

  • Adding a level to an existing job family:
    • Applicable when all four levels — Assistant, Associate, Lead, and Supervisor — have not been defined for a specific student job family
  • Revising descriptive language of an existing job family and/or function:
    • Adjusting or refining the descriptive language (including job family/function titles and responsibilities) of an existing job family and/or function to reflect updated responsibilities or expectations
  • Creating a new job family under existing job function:
    • Establishing a new job family and defining one or more levels of job classification (e.g., Assistant, Associate, Lead, Supervisor) within the new job families
  • Creating a new job function:
    • Establishing a new job function and defining one or more job families, as well as one or more levels of job classification within the new families.

Initiating a Job Classification Request

A request to change/create student job classification must be initiated by the senior HR leader. The request must include the following written documentation:

  1. Rationale for proposed change
    • Detailed explanation of the need for the proposed changes or new classification
    • Evaluation of how the changes may affect related job functions, classifications, or student employees
  2. Student employee impact
    • A list of current student employees impacted by the proposed change, including departmental or organizational affiliations
  3. Senior HR leaders' consensus
    • It's recommended to provide a summary of discussions with all impacted senior HR leaders, along with confirmation of their support for the proposed change. Alternatively, Compensation and Classification may consult with the affected organizations to review the request during the later stages of the process.
    • Adding a level to an existing job function only requires a rationale to justify the addition and does not necessitate consultation with all senior HR leaders

Submission Timeline

Please reach out to your organization's senior HR leader to complete the submission process.

Requests may be submitted to Comp & Class throughout the year via email at comp-class@uiowa.edu.

Considerations

  • Are the responsibilities significantly different from existing classifications?
  • Does the proposal maintain the integrity of the student classification structure?
  • Is the classification being created to simply differentiate pay?
  • How many students and departments may be affected by this change?

Outcome

If approved, current student employees in the affected roles may have the opportunity to transition to the new classification. Senior HR leaders will receive written notification of the decision from Compensation and Classification.
