Eligible employees who hold regular appointments of 50% or greater can donate their accrued vacation hours to another eligible employee seeking donations. Sick time cannot be donated in place of vacation.

How to Donate Your Time

There are two ways an eligible employee may donate time:

  1. Donate your time directly to a specific employee in need
  2. Or donate your time to a general pool that anyone in need can use

Please ensure you are filling out the correct form, depending on how you would like your time donated. If you are donating time to a specific employee, please include the recipient's name on your form when prompted.

How much time can be donated?

Donations are unlimited for an employee's catastrophic illness or injury for themselves or a family member. 

  • There is a minimum donation of one (1) hour. 
  • If donating anonymously, we prefer that you donate a minimum of 8 hours (total donation in 8-hour increments)
  • Donations are on a 1:1 ratio.
  • Donated hours are irrevocably pledged.

Donate Time

How Your Donations Are Used

Donated hours are an irrevocable pledge. The donated leave is not taken from your vacation bank until the recipient needs it. It could be several months to a year from receiving your donation form until the leave is used. 

  • You will receive an email notification from Workflow when the donation is used.
  • In some cases, an individual may not need all the donated hours; therefore, your entire donation may not be utilized. In these situations, you will receive an email notification from University Benefits to inform you of the outcome of your donated time.
  • If the recipient leaves the Catastrophic Leave Program, you will receive an email from University Benefits notifying you that your hours are no longer considered pledged. 
  • If the donor is leaving the University, we ask that they contact University Benefits at benefits@uiowa.edu so that we can void any unused hours they had pledged for donation.

The names of our employees who have donated leave to recipients in need are kept confidential. 

Donations not used

If your hours are no longer needed, you will receive an email from University Benefits, which will notify you that your hours are no longer considered pledged. Once hours are pledged, they cannot be returned before the recipient leaves the Catastrophic Leave Program unless the donor terminates employment.
